This position performs a variety of budgetary duties that requires a high-level degree of initiative, accuracy, judgment, and knowledge as necessary to support the Dean of University Libraries. The primary purpose of this position is to coordinate all aspects of budget management including tracking all indices within the libraries and doing end-of-year reconciliation and balancing. This position works with department-level budget personnel. This position also monitors all personnel actions in the Libraries including EPAFs, Interview Exchange requisitions, and staffing plans.
Primary Duties and Responsibilities
The following duties are customary for this position but are not to be constructed as all-inclusive. Duties may be added, deleted and assigned based on management discretion and institutional needs.
Tracks and monitors expenditures for Libraries and works with the Office of the Provost on budget development
Coordinates personnel process to include initiating personnel actions through Interview Exchange, prepares Electronic Personnel Action Forms (EPAF's), and maintains personnel files
Prepares financial documents, forms and initiates TopShop requisitions
Manages procurement card activity and ensures appropriate expense reconciliation
Assists the Dean with specific assignments and special projects
Provides exemplary customer service to all internal and external constituents
Prepares drafts and proofreads correspondences to include email and other documents as required by the Dean utilizing word processing, database management, and spreadsheets
Takes minutes for various meetings and maintains files
Assists with reconciliation of weekly budgetary reports and ordering of supplies as needed
Assists individuals throughout the Libraries as needed

General working knowledge of accounting and good mathematical skills
Ability to establish priorities and work independently
Organized and detail oriented with the capacity to work in a busy environment with frequent interruptions
Excellent written, verbal, and interpersonal communication skills, customer service skills, problem solving and decision making skills
Ability to work in a team environment and interact professionally with a wide spectrum of individuals to include faculty, staff, administration, and vendors
Job Requirements:
Bachelor's Degree
At least one year of accounting/bookkeeping/finance and/or budget coordination
Additional Information:
Hourly Range: $20.51 - $21.54
