The purpose of this position is to keep the office running smoothly and efficiently. The budget coordinator will initiate, record, and file all financial documentation in the unit while observing budgetary limitations and spending policies. The budget coordinator will be responsible for duties normally assigned to a building coordinator, including maintenance requests, upgrades, and reserving space in Astra for academic-related activities for units housed in HCIC and for others in WKU Community.
Primary Duties and Responsibilities
Work with Mahurin Honors College (MHC) Unit Heads and Office of Scholar Development (OSD) for budget development and operations management.
Analyze budget activity throughout the year to reallocate unit budgets based on actuals.
Develop financial models to support various revenue/expense scenarios.
Provide support to Unit Heads with financial research, budget information, administrative documentation, etc.
Prepare or review financial documentation for both departments to fairly reflect the financial position of each functional area, to include inter-accounts, payroll forms, budget transfers, payment authorizations, year-end accruals, etc.
Data analysis and reports to include information generated through Banner, Topnet, Infoview, Visual Analytics, and the new Axiom budgeting software as it is implemented.
Maintains extensive understanding of institutional and departmental travel, expense and procurement card policies.
Develops tools and processes for budgeting, tracking and forecasting all expenditures charged to MHC's and OSD's financial units.
Maintains extensive understanding of institutional and departmental policies.
Uses excellent professional judgment and integrity to evaluate the appropriateness of expenditures and possesses the maturity and confidence to address questionable transactions either directly or by escalating them, if needed.
Adopts best practices in the review and management of financial resources addressing any needed changes or adjustments in a timely manner.
Maintains big picture perspective to ensure that all expenditures are evaluated to assess impact on departmental operational needs and financial goals.
Advises on routine HR processes and identifies more complex situations that require the involvement of others.
Assists employees with self-service transactions, as needed.
Supervises scholar workers.
Oversees MHC office operations.
Job Requirements:
Bachelor's degree
Demonstrated proficiency with, or evidence of ability to learn, university related software as listed above.
Excellent computer capabilities.
Additional Information:
Hourly Rate: $20.51 - $21.54
