Job Overview
The mission of the Georgetown University Center for Global Health Practice and Impact (CGHPI) is to sustainably improve health outcomes through generation and translation of scientific evidence into policy and practice. Our work focuses on infectious diseases, non-communicable diseases, health security, maternal neonatal child health and health systems strengthening. We apply unique approaches to these areas to optimize outcomes and ensure sustainability through behavioral science, epidemiology and data science, health services outcomes research and integrated delivery methods. CGHPI is a cross-campus institution whose mission is to advance scalable and sustainable solutions to improve health outcomes worldwide and enhance resilience of health systems to respond effectively to global health threats.
The Inaugural Director of Georgetown University Global Health Institute is also the Director of Georgetown University CGHPI. To advance the missions of the Center and Institute we seek an Assistant to the Director & Special Projects Manager in the Office of the Director.
Responsibilities include but are not limited to:
Manage and coordinate the Director's workflow and processes
Interact regularly with staff members of GUGHI and GUCGHPI, Georgetown University business partners, external stakeholders, Field Offices, and a variety of other constituents
Work with technical teams, Program Managers (PM) and Ops Team to understand and implement directives as set by the Director
Manage the executive calendar for events, including program advisement, travel, speaking engagements and other activities
Maintain confidentiality regarding information that is sensitive or proprietary to the Center, the Institute and the University - for example, past and current project status, staff concerns, and program data and organizational plans
Specific duties include but are not limited to:
Manage the coordination and scheduling of meetings to facilitate the best use of the Director's time; work with stakeholders to ensure proper protocol in accommodating visitors, contractors, consultants, etc.; plan, coordinate and ensure the Director's schedule is followed and respected; and provide 'gatekeeper' and 'gateway' roles, creating win-win situations for direct access to the Director's time and office.
Sort, stage and e-file materials to facilitate accurate and timely retrieval of information; maintain finding aids or indexes for all Director's current projects and archives; and maintain accurate records associated with all internal and external groups and organizations.
Oversee all correspondence, research materials, reports, tasks, and assignments for Director; draft letters/emails and responses to requests for Director's approval; manage Director's routine agenda and follow-up on initiatives as expected; and ensure all proposals, agreements, and donor materials requiring the Director's input/approval are prepared to review.
Serve as the cost-center manager for the Director; process associated invoices per GU requirements and maintain supporting documentation; and work with CGHPI, GU GHI and University Finance and Operations teams to maintain accurate monthly, quarterly, and annual reports detailing all CGHPI available resources.
Ensure production and timely delivery of materials for various internal/external meetings for presentation by the Director.
Read, sort, and process daily emails for the Director; eetermine what communication requires further action or can be considered completed; and determine with Director what communication is private and what can be apportioned to Center and Institute stakeholders.
Document and deescalate staff concerns that request the Director's involvement; and as called for, work with internal HR and line managers to take over discord for evaluation and next actions.
Participate as an adjunct member of the Senior Management Team, including assisting in scheduling meetings and attending all meetings, and coordinating the agenda of senior management team meetings and all-staff meetings.
Work Interactions
The Assistant to the Director & Special Projects Manager provides executive support to the Center & Institute Director in a one-on-one working relationship.
They serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the Office of the Director; and manage up to/works with internal stakeholders (Faculty, staff and field leaders) in order to anticipate, analyze, and prioritize special projects and regular workflow as requested by the Director.
As well, they serve as key stakeholders' liaison - coordinating the Director's outreach and external relations efforts; and managing travel and scheduling for the Director and oversees special projects assigned by the Director.
Requirements and Qualifications
Bachelor's degree (4 year) in public health, social or political sciences and 5 years of experience or Master's degree in public health, public administration, business administration, social sciences or related field and 3 years of experience providing executive support and project management
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, external partners and donors
Expert level technical writing and verbal communication skills
Demonstrated proactive approaches to problem-solving with strong decision-making capability
Experience working in multi-cultural settings
Experience working in organization with extensive international involvement in global health and international development ecosystem
Working knowledge of public health, health systems and clinical medicine context
Experience and interest in business and partnership development
Proficiency with Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms
Preferred qualifications
Proficiency in statistical data analysis software
Knowledge of other languages (Portuguese, Spanish, etc.) and international customs - specifically, knowledge of French
