Primary Duties and Responsibilities
Responsible for all fiscal duties associated with the KRS Indexes, E&G, and Foundation
Assist Director with annual budget process in line with the current CHHS Process
Ensure financial records are maintained in compliance with accepted University policies and procedures
Ensures that all purchases are made following the current WKU Discretionary Spending Policy, and that spending is within the approved annual budget
Approves requisitions for all items that do not meet the procurement card purchasing guidelines
Prepare payment authorizations and interaccount forms
Analyze discrepancies from outside vendors and from WKU inter-accounts
Create course fee reports for CHHS and Academic Affairs
Attend budget meetings conducted by CHHS
Creates year-end report for the foundation office
Review and approve KRS Procard monthly statements
Allocate and post financial transaction details for each account using Quicken to reconcile with Banner Finance Reports monthly and at year-end
Reconcile individual KRS indexes each month using Quicken Software
With the support of the Director, supervise office staff in KRS
Following the CHHS Travel Policy, tracks and provides the KRS Director with totals of employee travel for spending
Other duties as assigned by the Director of KRS
Attend necessary trainings
Research and Grant Responsibilities
Communicate to KRS Director about research-active faculty needs and support
Monitors &/ approves KRS grant expenditures and ensures compliance with award requirements
Following the Academic Affairs Policy for Summer and Winter Compensation support KRS Faculty with amounts allowed to teach and receive compensation
Monitors budget availability and determines appropriate timing of charges to KRS grants
Submits Reallocation Requests, submits inter-accounts, and any applicable budgetary forms to process expenditures for KRS grants
Submit all KRS Research Participant Incentives and assure that the correct procedures are followed (Payment Authorization forms)
Initiate KRS Off-contract grant effort payments (Form 16s)-this includes coordinating and consulting with grant-sponsored faculty, the CHHS Budget Manager, and Academic Affairs
Research all off-contract effort for each faculty involved in sponsored off-contract effort
Communicate intentions and explain the process
Initiate the form 16 payments for each month of off-contract
Track available spending in the grant
Initiate Certification documentation for off-contract time (collect signatures and submit to GCA)
Assist KRS Project Directors to track funding of current Internal Grants such as QTAGs, RCAPs, and FUSE and assist with expenditures, as necessary
Assist Grant Project Directors that hold multiple projects with budget tracking (Quicken) and grant compliance
Job Requirements:
Bachelor's degree
A minimum of 2 years of comparable experience
Demonstrated competence in budget management, including purchasing, expense reconciliation, and procurement card management
Experience working with management software
Advanced knowledge of Microsoft Office Word, Excel, Access, and PowerPoint
Effective in analyzing situations and determining suitable solutions
Ability to work with minimum supervision
Additional Information:
Salary Range: $17.44- $22.05/hr
