Gift Accounting Assistant - University Advancement

The Gift Accounting Assistant is part of the Gift Processing team and is responsible for accurately and efficiently researching, entering and maintaining all gift-related data in the Advancement Systems. The Gift Accounting Assistant must use judgment and discretion in processing, along with the Gift Processing team, over 80,000 gifts received by the Advancement Office each year. In addition, this position is responsible for creating new biographical entities for donors as needed and maintaining all levels of biographical information to keep records current and maintain database integrity. This position requires an individual who is highly detail-oriented who can learn and comprehend a complex database with highly detailed policies and procedures.
Primary Duties and Responsibilities
Accurately research and enter the daily receipt of university gift checks, credit card donations, journals, wire transfers, stock transfers and gifts-in-kind.Â
Monitor daily the data entry of gifts and pledges for accuracy in gift designation, following donor instructions and checking data entry accuracy.
Analyze information on the donor including past history of giving, relationships, property information, and company information to aid in processing a gift.
Verify and research payments against pledges.
Review and interpret pledge agreements and recurring credit card donations, and properly record pledge commitments on donor records.
Retrieve and batch online credit card donations in preparation for gift entry, maintaining confidentiality, accuracy and PCI compliance.
For gifts of stock, work with accounting to obtain information on the value of the gift and details on the stock transfer.
Review original legal documents on gift agreements, such as deeds and estate gifts, and ensure confidentiality/security for these documents.Â
Balance and reconcile each completed batch and prepare deposit paperwork for accounting.
Process matching gift information, including reviewing and analyzing matching gift information and updating appropriate matching gift file.Â Update corporate websites with current university contact information.
Establish new Matching Gift Website access when necessary.
Research, enter and maintain all levels of biographical information into Advancement Systems. This includes creating new entity records for donors, documenting donor requests through record attributes, and updating names and contact information to ensure the proper receipting of gifts per IRS guidelines.Â
Provide customer support to internal and external constituents.Â Interact with University Advancement staff and Accounting Services to resolve issues regarding gifts.Â
Perform other duties as assigned.
Bachelorâ™s degree in accounting or related field and three years of experience in gift processing, accounting or related field, or equivalent experience.Â
Experience with non-profit gift processing.
Experience with Salesforce.
Highly detail oriented with a critical degree of accuracy regarding data entry and analysis.Â
Strong interpersonal skills and experience in exercising discretion in a complex and high-volume work environment.Â
Ability to prioritize work and to perform multiple tasks simultaneously while adhering to deadlines.
Strong problem-solving and analytical skills.
Ability to take responsibility, to work well as a team member and to work independently.Â
Ability to understand and follow directions and complex policies and procedures; ability to handle confidential data. Â

High school diploma or equivalent high school certification.
Two years of office, payroll, accounting, or business experience.
$18.36 - $28.47 / HourlyThe salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
