Job SummaryReporting to the Manager of HR/Talent Operations (Manager), the Talent Coordinator (Coordinator) is responsible for a variety of administrative coordination and support to the Simmons University Human Resources department with a dedicated focus on HR talent recruiting, retention, and performance development, and other general human resource functions. This critical role serves as an employee ambassador to work across several university HR functional areas to coordinate smooth workflows underlying various operational processes and systems. This critical role serves as liaison with internal colleagues, and students, as well as new employees, on behalf of the Human Resources department, while promoting a culture of inclusion and responsiveness through customer-centric support. Essential FunctionsSupport new hire onboarding process, offer letters, requisitions coordination, new hire paperwork appointments to I-9 verification inquiries and processes, as well as liaise with new hires and maintain accurate tracking to ensure timely completion of onboarding tasks within the HRIS system (Workday);Liaise and assist with other campus partners in support of promoting the University?s HR standard procedures, processes and best practices;Enter and ensure data accuracy for high volume of new hires, employee status changes, data updates, terminations and other data input as requested including running reports;Assist with update standard operations procedures, business process workflows, and best practices content for supporting managers and employees;Support faculty onboarding each semester including reappointment process for returning faculty and onboarding for new and returning adjunct faculty;Contribute and assist with new onboarding initiatives in collaboration with other HR team members;Process contingent worker hiring, tracking, and compliance;Process and track stipend or special temporary contracts or payments;Process invoices, purchase orders, and other expense related tasks;Assist with recruitment advertising and sourcing solutions and tasks, through social media and/or digital employer branding initiatives;Assist with general recruiting needs such as interview scheduling, candidate communications, etc.;Support learning and development initiatives by assisting with curriculum and training registrations, tracking, and credentialing; Coordinate and track new hire diversity, equity, and inclusion and compliance trainings through external partner/vendor;Support the Assistant Vice President, Talent Acquisition with administration and operational tasks for executive search processes, liaising with external or internal search committees and consultants;Oversee processing of reference check processing and reporting through SkillSurvey software database;Provide back-up support for HR Coordinator and Administrative Assistant;Assist with other duties and projects as assigned. QualificationsBachelor?s degree or equivalent practical experience;Minimum 2-3 years of relative experience strongly preferred; prior experience in human resources or related area is a plus;Previous experience working in and ensuring the accuracy of data within online databases strongly preferred;Knowledge of social media and career-focused sites, such as Glassdoor, LinkedIn, Twitter, Facebook, & Instagram is a plus;Stellar customer service, interpersonal, and support-oriented skills in working with all members of a campus community;Ability to execute data entry functions with high level of accuracy, detail and thoroughness; Ability to concentrate on several detailed projects in a fast-paced office environment, remaining proactive and efficient with a high level of professionalism, organization, discretion and confidentiality; Excellent verbal and written communication skills;Ability to maintain confidentiality and exercise discretion with sensitive information and records.Work ScheduleThis is a 40 hour position with a schedule of Monday through Friday from 8:30am to 5:00pm.
